Creating your Email List and Submitting it

After registration has ended, the following week you will receive a link to upload your employee email address list for eligible employees and request passcodes for any employee without an email address into our portal. You will need to prepare your list before uploading into the submission portal. On the portal, you will also provide your current eligible full-time and part-time and US employee counts. These employee counts will be used for ranking purposes and they must be accurate.

Important details on creating your email file:

  • Please only include eligible employees (see chart above).
  • Each employee email address should be on a separate line in column A of an Excel file. PLEASE DO NOT INCLUDE ANY OTHER EMPLOYEE DETAILS! We do not need employee names, addresses, IDs, etc. We ONLY need the email addresses.
  • Make sure that emails are external, meaning they can receive an email from a source outside of your organization.
  • Please DO NOT include distribution list emails (email addresses that accept message(s) and then automatically redirect that message to email addresses that belong to that group/list. For example: This email address is being protected from spambots. You need JavaScript enabled to view it. or This email address is being protected from spambots. You need JavaScript enabled to view it.).
  • We prefer to send survey invitations to company-issued email accounts, rather than personal email addresses (ex: Gmail, Yahoo, Hotmail, etc.) Please request passcodes for employees without company issued email addresses. We cannot offer technical assistance when personal email addresses are supplied. See 'Passcodes' Link above for details about passcodes.
  • Please watch for common errors in email addresses such as: changes to last names, using a full name vs a nickname or extra characters such as hyphens or apostrophes.
  • Please review the list to ensure accuracy prior to submitting. After submission, we cannot make changes or corrections, and this can impact your ability to reach a minimum participation rate. Should WRG discover that your organization excluded any eligible employees or that ineligible employees were included, disqualification or a fee to make corrections may apply.

What do we do with your email addresses? We only use the email addresses to send employee survey invitations and then they are deleted. Please see our Privacy Policy for more information.
